All you really need is any database software. IT will require you to define tables.
I use Filemaker pro, and track about 600K items with it.
Now if you are super cheap, download Libraoffice. It is totally free and is supported my a large open source community, and free youtube tutorials.
Once your tables are defined, its easy to enter data and sort, search, Make reports, Have automatic flags, Etc.
Most commercial solutions are no better than this and cost LOTS more.

Hired a IT guy for make your own programs. They are easy to find or some company’s can take that projects. Not body share that programs.
